TEAM ROLES
Your Role as a Manager The Team Manager is a central figure in creating the flow of communication – not only within the team (players, parents, and coaches), but between the team and all support systems such as Fort Saskatchewan Minor Hockey, other teams, referees, officials, etc.
Ultimately, the manager is responsible for ensuring all the off-ice tasks are completed. This does not mean that the manager must do it all; he or she needs to make sure that it gets done via delegation. Also, it should be noted that some coaches will take on some of the activities that the manager is normally responsible for overseeing. By taking on the operational aspects of the team, the manager enables the coach to focus on player development and on-ice instruction to provide the players with rewarding hockey experiences. This manual provides information to aid Team Managers in the smooth operation of the team by discussing the need to delegate and by identifying key topics that the Team managers will need to address.
- Operate the teams within established Policies & Procedures.
- Ensure the financial requirements of FSMH are fulfilled.
- Assist the Head Coach in monitoring the off-ice conduct of team members and team followers, to ensure that the Team’s role as Community Ambassadors is maintained
- Establish, maintain, and enhance communication with other Association’s team members at the appropriate level.
- Organize a parent meeting for your team.
- Have each player fill out a Hockey Canada Medical Form and Fair Play form
- Coordinate the activities of the team including scheduling exhibitions & Tournaments.
- Schedule parent volunteers for concession duty, time clock, game sheet, and penalty box positions
- Assist with the formation of team budgets with Team Treasurers.
- Arrange for team transportation and accommodations if needed (or delegate)
- Arrange for extra ice as required and ensure monies are set aside in the budget for this.
- Notify Ice Allocator a minimum of 16 days prior to any ice changes.
- Confirm scheduled away games.
- Submit travel requests form (not for league play) and special events requests in accordance with the rules, as outlined.
- Input team lists and game stats promptly into league websites.
- Organize and lead parents or parent committees as required (ensure all positions within the team are filled i.e., safety person, fundraising, treasurers, etc.)
- prepares Affiliation list and emails to their Level Director (Level Director to forward to General Manager)

Head Coach Job Description
- Work with the team manager as the official spokesperson on behalf of the team
- Send out communications to the team when necessary and respond in a timely manner
- Coordinate the delegation of responsibilities to the assistant coach and manager
- Plan on and off-ice activities in consultation/collaboration with the assistant coach
- Plan, implement and control pre-game preparation and communication with the team
- Design and share the practice plans in consultation/collaboration with the assistant coach (Free IHS log-ins Available)
- Coach the team in all games and practices
- Establish rules for the team and oversee the supervision of the players
- Know and respect the roles of each person assigned to a position on the team, and work within the scope of your own role unless requested by another role to take on their duties.

Assistant Coach Job Description
- Assist with planning, organizing, and conducting practices
- Assist with pre-game preparation
- Assist with the operation of the team during the games
- Assist with the supervision of players off and on the ice
- Assist with the formulation of the game plan
- Report to the head coach
Two treasurers will set up a bank account at Servus Credit Union, Fort Sask under the team’s name with both individuals being the signing authorities.
The Treasurers will look after the books; retain all receipts and log all deposits.
Team budgets and financial accounts shall be a team activity and responsibility. FSMH assumes no liability or responsibility in the management of team accounts.
A financial statement must be sent out to all parents of the team monthly, and a copy must be sent to the FSMH Sports Coordinator, on Oct 31, Jan 31 and at the end of the season.
At any time during the season, the FSMH Sport Coordinator can request a financial audit of any FSMH team. During the audit, the team Treasurers must provide the current bank balance, a copy of all receipts for any expenses and a record of all deposits. All money not accounted for could result in a criminal investigation.
Budgeting issues should be discussed with the parents at the beginning of the season to ensure that team expectations are reasonable. Determine what expenses cannot be avoided, what additional activities the team would like to participate in and their additional cost to the team and then, how the necessary funds will be raised and distributed.
PARENT LIAISON - This position involves communication with parents and coaches during situations where there may be concerns needing to be addressed within the parent group of an FSMH team.
Concerns may arise over things like ice time, choice of players for overtime, or various other items. The Liaison is in place to create a safe place for parents to go if they wish to have a concern addressed that they feel they cannot discuss calmly with the coaches directly.
If there is a conflict between coaches or team staff, the Parent Liaison can accept the concern/complaint and address t with the parties involved keeping all personal information confidential if requested.
The parent should approach the Liaison to discuss the situation and fully express their concerns or questions. this should be done in a reasonable and calm manner with the Liaison. Any anger or frustration should be dealt with with the 24-hour rule where a cooling off period of 24 hours is used. Then, the issue is communicated within the next 24 hours.
The Liaison would then communicate with the coach who could address the concerns directly with the liaison present or could communicate through the Liaison. This will likely complete the communication, but in the instance where it does not, the Liaison would try to keep the communication going. If the situation warrants, the level director can be called into the situation to help mediate a solution.
If the Liaison, Coach, Parent, and level Director cannot come up with a solution, then the Clevel director would contact the Member Advocacy Committee for further discussion and the development of a solution that is workable.
Parent liaison should be someone not related to the Head Coach and is a non-bias party.
Team Safety Person - Your teams medical information sheets will be emailed to you from FSMH
a. This is the most qualified person available with training in First Aid, Respect in Sport Activity Leader, and the Safety Program. This person in charge takes control of the emergency and assesses the injury status of the player.
b. The Hockey Canada Safety Program is a development initiative of Hockey Canada. The emphasis of this program is on injury prevention and safety through risk management and education.
c. This will be accomplished by providing Safety people with the risk management, safety tools and information to allow them to implement effective injury prevention and risk management programs where safety is always the priority.
d. This will be accomplished by every team having a qualified Safety Person who will be focused on the safety and well being of the players.
e. The program is available to any person who is interested in being a Safety Person on their team.
- JERSEY PARENTS – Home & Away (Optional) a. Ensures jerseys are always in the dressing room 60 mins prior to the game time. Collects and washes jerseys for team players (wash in washing machine and hang to dry). responsible for the care of the team jerseys
- TIM KEEPERS, PENALTY BOX AND GAME SHEETS
- CALL PERSON- A call Person/Control Person Needs to know the location of the emergency phone or has a phone at their disposal. The control person is responsible to control the crowd and participants to ensure that the Emergency Action Plan can be executed effectively. This includes ensuring that the parents or guardians are aware of the situation and what is occurring.
- TOURNAMENT COORDINATOR - Under direction of the Manager and the Coaching Staff will seek out and apply to tournaments. Attends tournament meetings if required and communicates information back to the team. All parents are required to assist at tournaments. Things to keep in mind before attending a tournament:
- Will the tournament fit into the team’s regular schedule?
- When do fees need to be paid?
- Travel (transportation, permits)
- Entrance fee
- Will the tournament present the team with the right level of challenge?
- How many games is the team guaranteed?
- What is the set-up? Any unique rules?
- Is same day travel an option or is accommodation required?
- FUNDRASING COORDINATOR
- DRYLAND TRAINING COORDINATOR/TRAININER (OPTIONAL) - Set up off ice and on ice training for players. Ensure all permits are in place for off site training. Educate players o n pre and post game stretching.
TEAM START-UP
All EFHL managers must attend the annual Zoom manager meeting.

FSMH - In late September every year, FSMH will hold a manager meeting. ALL managers are expected to attend this meeting. If you are not able to attend, this meeting will be recorded for you to watch at your convenience.
- Your team will be set up on TeamSnap once your team is finalized.
- Once the ice schedule is finalized you will be sent a schedule in a spreadsheet that you will be able to upload into your TeamSnap
- Make sure all your Arena information is correct and addresses match.
- Every Monday compare your TeamSnap schedule to the ice schedule on FSMH emails to managers to make sure there are no conflicts.
Team meetings are essential in the development of formal communication amongst a team, and they encourage participation from all members. An initial meeting should be set up shortly following the formation of the team. (Note: Ideally, the manager and a preliminary budget should be in place before the initial team meeting.) This helps to ensure that all parents understand the commitment, both time and financial (including tournaments), up-front and before the season commences.
Once the First Parent Meeting has taken place, team meetings can be set based on the team’s need and desire for more meetings. Many sub-committees will form following the first meeting as well. Every Team Manager must delegate, it would be virtually impossible to perform all tasks alone.

Each team is required to fill out the Bank Account Letter and book an appointment with Servus Credit Union in Fort Sask to set up their team's bank account.
The two volunteer treasures can focus on this important area. The Team Treasurer is responsible for collecting, banking and distributing of all funds.

EFHL TEAMS (including U11AA) - NO team bonds will be handed into Fort Sask Minor hockey this season.
All teams are still expected to cash call for the bond in the amount of $1000.00 min (You may need more or less). Your team will keep these funds on hand and use the funds to pay your refs at each and every game.
Managers/Treasurers, please keep track of these cash payments with the template available under Banking. At the end of the season, each manager will submit their tracking sheet for payment, and once all of the team’s equipment is returned the amount paid to refs will be reimbursed to each team. Long story short no more picking up monthly cheques for Ref payments.
RAC TEAMS (U13AA, U15AA/AAA, U17AAA, U16AA, U18AA/AAA) - Your team bonds will still be $1000.00 Due before Oct. 15th.
HCR is your Hockey Canada Roster Number
Each player on your team has their own Hockey Canada ID number

The team manager will be contacted by the FSMH GM to finalize HCR
A Roster/ HCR A Hockey Canada Roster will be emailed to the team Manager from FSMH once the team has been finalized.
Items needed for your HCR:
- Make sure all your players have at least one parent with Respect in Sport – Parent
- All coaches and on-ice volunteers must have a current criminal record check and have completed the coaching requirements for the team.

All CRC and Coaching clinics must be complete before Nov 15.

Since 1964, the tournament has been a pinnacle week in the season for minor hockey in the city, as Quikcard Edmonton Minor Hockey Week determines the top teams in every division. The legacy even includes a Guinness World Record in 2003 for the largest ice hockey tournament. This season Hockey Edmonton anticipates about 10,000 players from more than 600 teams ranging from U9 to U18, and representation from all corners of the capital region, to participate at the 2023 edition of the event
Over the past 59 years, with the exception of a one year pause due to the COVID-19 pandemic, Hockey Edmonton has gathered hundreds of thousands of people, including players, families, coaches, referees, and volunteers. With its rich history, this tradition of celebrating minor hockey and making memories in the capital city region is a legacy that is set to last for generations to come
All FSMH EFHL team will participate in this tournament. You will see a gap in your schedule in January (approx 2-3 week) do not book tournaments this week. The tournament is mandatory for all EFHL teams.
FSMH pays your entrance fee into this tournament.

- 2 volunteers (during play off volunteers may increase to 3) arrive 45 mins prior to the game time, volunteers will stay in the concession until it closes at the end of the 2nd period intermission (the concession will not close if the game is not the last game of the day).
- The volunteers are expected to, upon closing of the concession, remain and clear the condiment table, restock the concession from the storage room, and wipe down counters. 6. the concession will not be open for any practices.

If a volunteer reports wearing shorts or open toed shoes, they will not be allowed inside the concession and a suitably attired volunteer must be sent in to replace the volunteer. If a replacement is not supplied, the team will be fined for the volunteer shortage.

Daily Rate = $1450.00 per day based on 10 hours of service per day. Per bus.
Hours over 10 are billed at $145.00 per hour
600 kilometres included per day. $3.00 per kms. Over the 750 kms.
Driver changes are required after 12 hours per day.
The charge for the Driver change is dependent on where the driver change takes place.
WiFi - $50 per day

All overnight trips the driver must be provided a hotel room but not meals.
All longer trips that will be over 1100 kms per day are quoted separately.
Cancellation policy: 48 hours before trip on a business day.

REFS & OFFICIALS
The purpose of the Coach/ Manager Handbook is to outline the responsibilities for team coaches and managers related to suspensions, sanctioning and gamesheets. Hockey Alberta strongly recommends that coaches and managers bookmark this handbook on their phone/ tablet so that they have the required information available during all hockey-related events. It is also recommended that coaches and managers become familiar with the contents of the Handbook to ensure they are working within the sport’s rules and regulations.
EQUIPMENT & UNIFORMS
If applicable, the coach should discuss the dress code with players and parents at the beginning of the year.
Players should be dressed in a respectful manner for games, but as a team, you will want to consider issues such as cost, and relevance for your team.
For example, if the team does a warm-up prior to games, the dress code may be tracksuits or dryland gear. The need for a dress code may vary based on age, competitive level, etc.
RAC Teams - Please come to games in dress clothes
Tiered Teams- Dress code is at the coaches discretion
- all team uniforms (socks and sweaters) are provided by FSMH, and remain the property of FSMH, under the direction of the Equipment Coordinator. These are to be used for all league, playoff, and exhibition games. These items are not to be used as practice equipment.
- practice jerseys will be purchased by the players every season
- uniforms and equipment will be assigned to each coach in accordance with established procedures. The Coach/Manager is responsible for in-season care and returns at the season’s end. Any needs or concerns regarding equipment/uniforms are to be brought to the attention of the Equipment Coordinator.
- EFHL TEAMS - the official uniform shall be New York Rangers home and away colours, appropriately crested. All helmets and pants must be black.
- RAC TEAMS - INCLUDING U11AA - will wear red helmets and red pant shells. These colours differentiate these teams as the Elite Stream teams in FSMH. The procurement and cost of these items is borne entirely by the teams/parents, not by FSMH.
- It is the responsibility of the team’s Coach or Manager to sign out and pick up the team’s equipment at the beginning of the season from the FSMH Equipment Coordinator. If the team has a locker (RAC teams only), the Coach will be contacted by the Equipment Coordinator for access to their lockers.
- All equipment is on loan to the teams from FSMH. The only items the teams may keep are the socks. Everything else is to be returned in good condition at the end of the season.
- It is the responsibility of the team’s Coach and Manager to ensure that the equipment is cared for throughout the season.
- Jerseys are to be washed after each game and hung to dry. (see “washing instructions” for more details)
- Teams may choose to have a jersey parent wash and care for jerseys.... or they may choose to have each player care for their own jerseys. Either way, it is still the responsibility of the Coach/Manager to ensure that they are cared for properly throughout the season.
- Jerseys must travel in a garment bag. FSMH provides team jersey bags. If each player requires a garment bag, then that is the responsibility of the team and/or parents to supply them.
- If teams choose to affix name bars to the jerseys, they must ensure that they are applied and removed by Enhance it in Fort Sask
- At the end of the season, only the Coach or Manager can return all the equipment back to the Equipment Coordinator. And they must return all items at the same time. DO wash all jerseys in COLD WATER ONLY and HANG TO DRY

INSURANCE
When are you covered? Hockey Canada and each of the Branches of which Hockey Canada is comprised is specifically named as an insured, and all sub-associations, leagues and teams form a part of Hockey Canada. Coverage includes any officer, director, employee, coach, volunteer worker, instructor, referee, or member of a Committee, while acting within the scope of his or her duties. It includes members of any teams, leagues, Branch teams, division teams, national teams or international teams provided all are registered with or affiliated with Hockey Canada. It includes any sponsor of any team or Hockey Canada, but only with respect to his, her or their liability as such; and it includes any owner of any insured team. You are covered:
1. During Hockey Canada/Branch sanctioned events (league games, tournaments, practices, training camps, when playing member teams only and during sanctioned fundraisers and events**.
2. During transportation directly to and from the arena or venue for a sanctioned event.
3. In accommodations while billeted or at a hotel during a Hockey Canada/Branch sanctioned hockey activity.
** Important Note: Sanctioned events take place within clearly defined parameters set out by your Branch and its constituents. These can include association, team and league scheduled practices, games, evaluations/tryouts, and related activities. These activities, which would qualify as “normal” hockey program delivery, all fall within the scope of regular day-to-day operations of a minor hockey association, team, and league, and do not require specific sanctioning authority. However, program extensions such as dry land training camps, exhibition games and tournaments, all require separate specific sanctioning.
It is important that you check with FSMH if planning an event outside of normal programs such as fundraising and team social events.

Volitional acts that result in harm or the potential for physical or psychological harm. Maltreatment can take many forms, but generally includes any act, lack of an action or deliberate behaviour, by a person(s) in a position of trust that causes physical, emotional and/or sexual harm or damage to another person. Maltreatment also includes child abuse, which can be defined as any form of physical, emotional and/or sexual mistreatment or lack of care which causes physical injury or emotional damage to a child, whether done in person or through technology (including but not limited to computers, the Internet, cell phones, cameras, web cameras and other media).
The combined use of negative aggression and power. It occurs when one or more individuals abuse power and direct verbal, physical or social aggression at another individual. Harm inflicted by Bullying may be physical, psychological, social or educational.
Engaging in a course of vexatious comments or behaviours that are known or ought reasonably to be known to be unwelcome, including but not limited to unwanted behaviour that is based on discrimination prohibited by human rights legislation and includes sexual harassment.
