FSMH VOLUNTEER ROLES
The Team Manager plays a vital role in facilitating communication among players, parents, and coaches, as well as between the team and other entities such as Fort Saskatchewan Minor Hockey, officials, and other teams.
The primary responsibility of the Team Manager is to ensure that all off-ice tasks are completed. However, this does not mean that the manager must do everything personally; instead, they should delegate responsibilities effectively. It is also important to recognize that some coaches may take on tasks typically handled by the Team Manager. By managing the operational aspects of the team, the manager allows the coach to focus on player development and on-ice instruction, improving the overall hockey experience for the players.
Key Duties of the Team Manager Include:
- Operate the team in accordance with established Policies and Procedures.
- Ensure that the financial requirements of FSMH are met.
- Establish and maintain communication with team members from other Associations.
- Organize a parent meeting for the team.
- Coordinate team activities, including scheduling exhibitions and tournaments.
- Schedule parent volunteers for roles such as concession duty(if needed), time clock, game sheet, and penalty box positions.
- Assist in forming team budgets with the Team Treasurers.
- Arrange team transportation and accommodations as needed (or delegate this task).
- Book extra ice as required and ensure funds are allocated in the budget.
- Notify the Ice Allocator at least 16 days in advance of any changes needed for ice.
- Confirm the schedule for away games.
- Submit travel request forms for special events and tournaments, following the outlined rules.
- Promptly input team rosters and game statistics into league websites.
- Organize and lead parent committees, ensuring all necessary roles within the team are filled, such as safety personnel and fundraising coordinators.
- Ensure adherence to the FSMH Fundraising Policy.
- Understand and respect the roles of all team members and cooperate within the defined scope of each role.
- Know and respect the roles of each person assigned to a position on the team, and work within the scope of your role unless requested by another role to take on their duties.
- Collaborate with the Team Manager as the official spokesperson for the team.
- Send necessary communications to the team and respond promptly.
- Coordinate the delegation of responsibilities among the assistant coach and Team Manager.
- Plan on-ice and off-ice activities in consultation with the assistant coach.
- Manage pre-game preparations and communication with the team.
- Develop and distribute practice plans in collaboration with the assistant coach.
- Coach the team during all practices and games.
- Establish team rules and supervise player behavior.
- Respect the roles of all team members and work within the defined scope of each role.
- Comply with FSMH Policies and Procedures and uphold the code of conduct.
- Teach athletes the importance of fair play and respect for rules, officials, opponents, and teammates.
- Ensure all athletes receive equal instruction, discipline, support, and fair playing time.
- Obtain appropriate training.
- Submit an annual report that includes a seasonal evaluation and suggestions for program improvements.
- Assist in planning, organizing, and conducting practices.
- Aid in pre-game preparations.
- Support the operation of the team during games.
- Help supervise players on and off the ice.
- Collaborate in formulating the game plan.
- Report directly to the Head Coach.
- Two treasurers will complete the required paperwork to gain signing authority on the team's bank account with Servus (forms provided by FSMH General Manager).
- Treasurers will manage financial records, keeping receipts and documenting all deposits.
- Team budgeting and financial management is a collective responsibility; FSMH assumes no liability for overseeing team accounts.
- A monthly financial statement must be distributed to all parents and copied to FSMH at gm@fsmhockey.com by October 31, January 31, and at the end of the season.
- FSMH reserves the right to request a financial audit at any time during the season. Treasurers must be prepared to present the current bank balance, expense receipts, and a record of all deposits during the audit. Any discrepancies may lead to criminal investigation.
- Budgetary concerns should be discussed with parents at the start of the season to set clear team expectations regarding expenses, additional activities, and fundraising methods.
The Parent Liaison serves as a communication link between parents and coaches when issues arise within an FSMH team. These concerns may include topics such as ice time, player selection for overtime, or other relevant matters. The Liaison’s role is to provide a safe and supportive environment for parents who may feel uncomfortable addressing their concerns directly with coaches.
In cases of conflict involving coaches or team staff, the Parent Liaison can receive complaints and address them with the relevant parties while ensuring that any personal information remains confidential if requested.
Parents are encouraged to approach the Liaison to discuss their concerns or questions openly, but they should do so in a calm and respectful manner. They must also observe the "24-Hour Rule," which allows for a cooling-off period of 24 hours before discussing the issue, followed by communication within the next 24 hours.
Once concerns are brought to the Liaison’s attention, they will communicate with the coach to address the issues. This can occur in the Liaison’s presence or through the Liaison acting on behalf of the coach. If this process does not lead to a resolution, the Liaison will continue to facilitate communication. If necessary, the level director may be involved to help mediate a solution.
- Team Safety Person: This is the most qualified individual on the team, trained in First Aid, the Respect in Sport Activity Leader program, and the Safety Program. This person is responsible for managing emergencies and assessing player injuries.
- Hockey Canada Safety Program: This initiative focuses on injury prevention and safety through effective risk management and education.
- Training and Resources: The program provides Safety Persons with the necessary tools and information to implement effective strategies for injury prevention and risk management, ensuring that player safety is the highest priority.
- Dedicated Safety Personnel: Each team will have a qualified Safety Person committed to the safety and well-being of the players.
- Open Enrollment: The program welcomes anyone interested in becoming a Safety Person for their team.
JERSEY PARENTS – Home & Away (Optional)
- Ensure jerseys are always in the dressing room 30-60(depending on division) minutes before game time.
- Collect and wash jerseys for the team players (using a washing machine and hang to dry).
- Responsible for the overall care of the team jerseys.
TIMEKEEPERS, PENALTY BOX AND GAME SHEETS
CALL PERSON
- The Call Person/Control Person must know the location of the emergency phone or have a phone available.
- This individual is responsible for managing the crowd and participants to ensure that the Emergency Action Plan can be executed effectively.
- They must also inform parents or guardians about the situation and what actions are being taken.
TOURNAMENT COORDINATOR
- Under the direction of the Manager and Coaching Staff, the Tournament Coordinator will seek out and apply for tournaments.
- Attend tournament meetings if required and relay information back to the team.
- All parents are expected to assist at tournaments. Consider the following before attending a tournament:
- Does the tournament fit into the team’s regular schedule?
- When are fees due?
- What are the travel arrangements (transportation, permits)?
- What is the entrance fee?
- Will the tournament provide an appropriate level of challenge for the team?
- How many games is the team guaranteed to play?
- What is the set-up and are there any unique rules?
- Is same-day travel an option or is accommodation required?
